In regards to the email that just went out about FY and trimester, it is only for those schools that are using MyEd, and only for those schools that are having troubles with the final column missing for trimester report cards. Also note when you Prepare Grade Input, you should make sure you DO NOT replace existing columns or you will wipe out your marks and comments. If you have any questions please submit a ticket.

There's an issue with FY terms that have a trimester and quarterly system in a school. You can manually update the final column in the gradebook, but you must first get that final column in there. Here's how to do it: 1. Schedule / Structure / Terms - click on FY and uncheck the last box. 2. Locate the courses affected, select them in Grades / Grade Input / Options / Show selected 3. Prepare Grade input 4. Calculate the final column and then manually change the final column to the letter grade. Then when you're ready to do quarterly report cards, you must remember to do step 1 again, but this time check the last box in FY. (4 in total).

We had a few schools that have reported an issue with BCeSIS and it not loading suddenly. We are still working with the Provincial team to determine the problem. If you are using Chrome here is a solution that may help: chrome fix In your URL bar, enter: chrome://flags/#enable-npapi Click the Enable link for the Enable NPAPI configuration option. Click the Relaunch button that now appears at the bottom of the configuration page. Then reboot your computer and see if that fixes the issue.

To All BCeSIS schools. As we get closer to the implementation training for Wave #2 school we are looking for a few schools who can help host some of the training dates. We are looking for school who can host the dates below. Your school would only need to provide a room (with WiFi and Projector) for about 20 people, and arrange lunch (your school will be reimbursed for the lunch, we just need you to arrange it). Primarily we are looking for schools to host in the Vancouver/Fraser Valley area. 11th, 12th May 28th, 29th May 4th, 5th June 11th, 12th June 25th, 26th June 9th, 10th July 13, 14th July If you are able to host please contact me at andrewsmit@bcesisigroup.ca Also if you are only able to host but on different dates let me know as well because we can switch some of the dates if needed. To All BCeSIS Schools. As most of you are aware BCeSIS is being replaced by the new MyEducationBC system. BCeSIS will be decommissioned at the end of this coming September. We have already moved 50 schools to MyEducationBC last year in Wave#1, and now we need to move the remaining schools to MyEdBC this year as part of Wave #2. Dear MyEd Schools Some schools have created exam records without an Exam Session Date. To fix this, those exams will need to be deleted, and then the Course exam sync procedure needs to be run again. Here are some quick tips. Course Dates needs to be posted from the Grade Input prior to running the course exam synchronize procedure. If the end date is blank in the Student Transcript Records, the Course Exam Synchronize Procedure will not be able to identify when the course ends and no test session date will be populated. To remove the assessment records without the exam session date, go to assessment top tab>Student assessment side- tab Select 'Provincial Exam' assessment definition and select the filter 'Missing Test session Date' All records with missing Test session date will be displayed Select all records and go to Options> Delete Now go to student tab > Options > Course exam synchronize procedure Assessment records will be created with session date and course end date.

Dear MyEd Schools, Those schools taking AM/PM daily attendance may be experiencing issues where the totals would double up on the reports. The provincial team is aware of the issue, and we will update you as we find out more. For now, there is a workaround. If you need a report, go to School > Setup > Preferences and Uncheck the Second Daily Attendance box. Then run your reports. Once the reports have been printed, go back to this box and check it again so that your teachers can take AM PM attendance. Thanks

Please see below for the steps: Student / Transcript Set your data dictionary - choose the transcript type. 1. Click on the book on the top right 2. Select the transcript definition for the course(s) to be added. Options / Add 1. Enter the year of the course 2. Enter the rest of the fields If the course does not appear with the year selected, choose the current year and then select the course. You can then go back and change the year. Thanks

To all MyEd schools, Some schools have reported an issue where courses and marks were showing on student report cards when they have been removed from the course. Here's how to fix the issue: 1. From the grade's tab / grade inputs - find the course that is appearing in error. 2. Click on the withdrawn radio button 3. The student will now appear. Delete any unwanted marks and/or comments. 4. Run the report card and ensure to check "Exclude Classes without Term Grades" If you are having this issue, please try it and let us know if it's not working for you.

At the request of FISA BC , the Ministry has changed the 1701 data collection snapshot date for independent schools to October 17, 2014 to align with the adjusted 1701 dates for public schools. Please note the following dates: Snapshot: October 17 Files Due: October 24 This change was requested by the FISA BC Board of Directors in order to align the snapshot date with the public system and avoid the risk of any students going unreported should student transfers occur between October 1 and October 17th. This change applies to the current school year only. The Ministry data collection website has now been updated to reflect the adjusted dates. A lot of schools are still using the First Name which will generate errors. To MyEducation Schools: We have been receiving a few questions about PEN numbers in MyEdBC. The process is supposed to work the same as in BCeSIS. (ie. the PEN's are automatically populated or created for you). However the Provincial team is having problems getting this to work. We were promised that it would be fixed last week, but clearly it has not been fixed yet. The Provincial is aware that this is critical and is working on a solution. I will let you know once I have an update.

Dear BCeSIS Schools. There is an issue where if an older version of java exists on computers, a message may appear that you must update your java version. Please do not use the automatic updates. We are using version 6.34 and it is working properly. If you are having this issue, do not update to java 7. To All Schools I have posted the recording of the "Managing Enrollment" session that the provincial team did last week. It is critical that any school that missed this session watch the recording. (it is for both BCeSIS and MyEdBC schools). Also we have been receiving a number of questions around what to do with students who will not be released by public schools. In talking with a few of the districts it was decided that it is best if you just cross-enroll the student to your school (so that you can setup scheduling and class lists) and then when the strike is over you and the public school can work together to set the correct "home" school. Good Morning! We have had a number of reports from schools that they are having difficulties printing High School Report Cards this morning. This includes schools who were able to print Report Cards yesterday. It appears that the reporting dates for the November Report Cards in the GPA Module have been erased. Do not worry, it sounds worse than it is. To fix this problem, go to School - GPA Module - School Reporting Dates. You will see that the Reporting Date is listed, but the Course Lengths and Reporting Periods are now empty. Simply add them back in by clicking the Add button on the bottom right of the screen. If you are not sure what it should look like, scroll to your next reporting date, as those dates seem to be un-touched. The Provincial Team is aware of the issue, and it is a High Priority item with them. We will let you know of any further development.

12th Nov 2013 - The Aspen has just announce the list of dates and locations for a series of demonstrations for the new Aspen software. This will be a chance to see the actual application and what it is capable of doing. It will also be a chance to ask questions about the software. *New BCeSIS Demo* - Registration Required We have confirmed that there will be a presentation by Renate Butterfield and a demonstration of the Aspen Student Information System at the Common SIS Consortium meeting on October 30th from 8am - 3:30 p.m at the Sheraton Vancouver Airport Hotel in Richmond. Contract negotiations are nearing conclusion and we anticipate that the Ministry will be providing updates soon. Please find attached the revised agenda including the demonstration of Aspen by trainers from Follett as well as an additional session yet to be finalized with Follettt and Fujitsu. Please continue to watch the registration site for the latest information. We encourage all districts to attend this meeting and to consider bringing both technical (L1) and training support as well as educators as the afternoon will be led by Dean Goodman, Lead for Strategic Educational Transformation, as we discuss "Reporting Student Progress". Our normal subcommittee meetings will occur and the Student Achievement Committee will focus on assessment. The new student information system will play a key role in the BC Educational Plan and this is an opportunity to dialogue with other districts about assessment practices and reporting student achievement both through report cards and analytics. Solutions to Common First Day of School Issues: Problem #1: When I print reports only some or none of my students show up (ie. attendance reports, class lists, etc) Solution: Go to Reports->#6 Enrollment Reporting->Enrolled/Not Registered. If all your students are listed there it means you probably didn't mass register your kids. Follow the first step on page 3 of the start of school checklist (http://bcsupportonline.com/wp-content/uploads/2012/08/Start-of-School-Checklist-2012.pdf) If just a few kids are listed you will need to go to each of those students, and go to Main Menu->Change Student->Register. Then enter today's date and click Save. Then Exit and repeat for all the students that are not registered. Problem #2: When I try take attendance I either get an error message or the wrong classes are showing up. Solution: Check the following steps from the Start of School Checklist (http://bcsupportonline.com/wp-content/uploads/2012/08/Start-of-School-Checklist-2012.pdf) a. "Check School Tumble Pattern Details" b. "Setup School Calendar tumbles" Problem #3: None of my classes have students. Solution: Check if you are elementary school that you have assigned your students to homerooms. (Hrm Staff button on right on homepage for each student) Check if you are high school that you assigned your students to courses. (Courses button on right on homepage for each student)

We have received the following announcement from the Ministry of Education: "Please find attached (http://bcsupportonline.com/wp-content/uploads/2013/07/New-BCeSIS-communication-130723.pdf) an update on the procurement for a new student information service to replace BCeSIS. The SIS Executive Steering Committee and the Ministry of Education are pleased to announce that Fujitsu Consulting (Canada) Inc. has been selected as the lead proponent. Fujitsu’s hosted service is built around Follett Corporation’s Aspen SIS product. Aspen is a modern, feature-rich student information system designed from the ground up for province-wide implementations and to fully support learning and teaching. The Ministry is currently undertaking reviews for due diligence and will soon enter into contract finalization with the lead proponent. It is anticipated that a contract for the new service will be in place early in the fall. We will be working with districts on a deployment schedule with the expectation that schools will likely begin the transition to the new student information service in 2014 and 2015, and that BCeSIS will be decommissioned early in 2016." Because this announcement has just been made this morning we don't have any specific's for the Independent schools regarding training and implementation or specific dates that events might happen. We will know in the next few months, once the Fujitsu and Follet have finalized their plans, as to how we are going to make this transition. You can expect from us in the next couple months a outline from us to the general plan that we are going to use for the transition, and we will also be requesting feedback from schools on the plan, and concerns that they might have. Do you have a new secretary joining your school next year, or do you have teachers that you want to start using BCeSIS next year? If that is the case the BCeSIS iGroup is able to provide one-on-one training at your school for your new secretary or provide training for your teachers. 

With offer a one day training sessions were we can work with your school getting your staff all trained up on using BCeSIS. If you are in the Greater greater Vancouver area (ie. As far east as Chilliwack) we can come to your school and do the training. If you are outside of the greater greater Vancouver area we can provide this training online via Elluminate to your school. Our office is open throughout the summer so we can do this training anytime from now until school starts, and again after late September. 

If you would like to sign-up for training please contact Adam (akouwenberg@bcesisigroup.ca) to schedule a day. Please note that this one-on-one training is beyond what your standard BCeSIS fees cover and as such there is a $275 + HST training fee to cover the costs.

Your representatives on the Service Management Council recently received a memo (see bottom of this message) outlining the current status of the process to replace BCeSIS.  At our Executive meeting today, we thought you would benefit from the information contained therein. (Apologies if you have already received it from your SMC Representative.)

You are aware that we will continue with the current BCeSIS application for another year or so, after which, the intention is that a new province-wide system will be implemented.  The memo outlines that process.  In the meantime, while we are not adding new schools to BCeSIS, we are encouraging schools presently using the system to maintain BCeSIS  through the next year.

We understand that some vendors are encouraging schools to consider opting for their student information application, but we emphatically recommend that no school opts for another system until we are able to assess the new system  that will be established for all schools in the province.  

Our service desk is monitoring the situation, and will be developing an implementation plan for  the transition to the new system when it takes place.  We are fortunate to have a support desk (under the direction of Andrew Smit) that serves us so well at this time.  We know that we will need to provide that support in the future, no matter what system is implemented.

We will endeavour to keep our iGroup schools informed of the significant steps as they occur.  In the meantime, do not hesitate to contact your FISA representative (non-FISA schools contact the AMG rep) if you have any questions or comments:

Memo from the SIS Executive Steering Committee

Update on the procurement of a new Common Student Information System

May 11, 2012

The SIS Executive Steering Committee (SIS‐ESC) and the Ministry of Education have initiated theprocess to procure a new Common Student Information System that will replace BCeSIS.  The preferredapproach is to purchase a complete SIS service from a single vendor.  Under this “software as a service”(SaaS) model, the vendor would build and/or acquire suitable software packages, host them on theirown servers, and make them available to school/district users through a web interface.

On April 23 a Request for Information was posted on the BC Bid website to confirm the availability ofvendors in the marketplace that can offer a complete SaaS solution.  In addition, it will collectinformation from potential suppliers about financial models, risks and issues that will inform thesubsequent preparation of a Request for Proposals (RFP) for a new service.  The RFI closes May 18, 2012.

In the fall of 2012 the RFP will be issued, evaluation criteria will be compiled, and vendor responses anddemonstrations will be evaluated.  The intent is to select a suitable supplier by the spring of 2013.

The Ministry is currently putting together teams to work on the preparation of RFP documents andevaluate responses from suppliers.  The RFP will build upon the information collected during previousprocurement exercises, but updated to reflect current educational and business practices and newrequirements for personalized learning.  This is a major undertaking and success will depend upon theavailability of knowledgeable personnel who can commit to an aggressive schedule.

A core evaluation team is being established to provide input into business and technical requirementsand contractual terms, draft evaluation criteria, approve RFP documents and evaluate responses.  Themembership will include senior school district and ministry staff selected by the SIS‐ESC.

The core evaluation team will be supported by several working groups made up of experienced usersand practitioners.  Districts and school authorities will be asked to recommend members of the workinggroups. Once a pool is established, participants will be selected based on their expertise and ability torepresent a broad cross‐section of schools and districts.  A request for participants will be coming fromthe Ministry shortly.   

Opportunities will be available for stakeholders to comment on the RFP prior to its posting on BC Bid thisfall.

We look forward to working collaboratively with stakeholders to develop the best possible solution forall users, and ultimately for our students.

The Ministry is seeking candidates to serve on working groups for the procurement of a new common student information service to replace BCeSIS.

Seven working groups are being established, each comprising 5‐7 members:

• Teachers• School/district operations
• Curriculum and assessment
• Technology and  system support
• Counsellors
• Special education/student services
• DL/CE operations

The responsibilities of the Working Groups include:
• considering all aspects of school and district operations within their specific Working Grouppurview
• providing business requirements for a Request for Proposals for the new service

Working groups will be established in May and members must be available for the following:
• 2‐day requirements workshop in June/July 2012
• 1‐day review workshop in July/August 2012
• 2‐3 days in February 2013 for demonstrations
• ongoing on‐line discussions

The Ministry will cover all direct expenses including travel, meals and accommodation. We will also pay$200/day for weekend or summer work for those participants who are not compensated by theirdistricts/authorities during these periods. Districts will be compensated for teachers on call whereapplicable.

The problem with the Extract Criteria functionality in BCeSIS has been resolved. All reports should be functioning now (including GDE and Report Cards). Please contact the BCeSIS helpesk if you continue to experience a problem running reports.

There is a problem with the Extract Criteria functionality in BCeSIS which renders it unusable at this time. This affects all reports as criteria to base them on is unavailable. The problem has been raised as a Priority 1 with aal. We will continue to provide updates at regular intervals on the ISW until this matter is resolved.

We are starting to get ready to start the BCeSIS scheduling sessions. The BCeSIS scheduler (MTB) is a powerful tool that can help schools speed up the scheduling process and reduce the amount of work that needs to be done manually. This scheduler is only for course-based schools (ie. high schools) and typically is only useful for schools with more than 80 kids. 

In the past we have done these as group sessions, however this year we are offering the scheduling (MTB) training as one-on-one sessions in our office. 

If you would like to setup a day (or two) so that we can teach you how to use the BCeSIS scheduler (MTB) to help you put together your schedule for next year. If you would like to setup a session with us please contact Adam at akouwenberg@bcesisigroup.ca and he will schedule a date that works for you. (or you can submit a helpdesk ticket with the request)

This notice is for schools that are using the Student / Parent Assist module for course selections only.  If you do not know what this is, it does not pertain to you so please ignore.  Otherwise, please read below:

 

Student Assistant for Course Selection 14-Feb- 2012Student Assistant for Course SelectionOn Monday, Feb. 13th, we began to receive reports from several districts of slow performance when using the Student Assistant for Course Selection functionality. We began monitoring the Parent Assistant server (Student Assistant being the only implemented component of the PA functionality) but saw no indication of anything that could be causing a slow-down.This topic was raised again this morning on the Level 1 conference call. Shortly after, we determined that a server restart was required. We requested and received approval from the Ministry to perform the unscheduled server reboot and this was completed in a brief window.Since then we have received further reports, from some districts, of a random and sporadic incomplete rendering of the student course selection screen after login.

We are actively investigating this and are working closely with the districts that have submitted reports to determine the root cause. We have also escalated this as a high priority with the software vendor.  At this time, some users have seemed to resolve the problem by performing a complete workstation restart. In addition, if you’re using Internet Explorer 9, use compatibility mode.

To assist in our analysis of the situation, we are requesting that you submit a Helpdesk ticket if you’re experiencing the problem as described above, or experiencing any other inconsistent behavior. We would also appreciate Helpdesk tickets from Schools that are using the functionality without incident. When submitting a ticket, please include OS/browser versions as well as specific student account ids/passwords.Thank you for your cooperation while we continue to investigate this. We will provide more information as it becomes available.

The fix for the problem of standardized test records being created for previously examinable (optional) courses which no longer require an exam, was implemented in Production as scheduled on Jan 11, 2012.  A standardized test record will no longer be created when a student is scheduled into a new section of one of these courses. 

However, implementing this fix does not remove standardized test records that were previously created by this problem.  Records that were erroneously created need to be deleted manually.

We are working with aal on a problem whereby users are not able to log back in to BCeSIS after using the Lock functionality. A fix is in development, and it will be implemented as soon as it’s available. In the meantime, the following tested workaround will prevent the problem from occurring: When first logging into BCeSIS, at the start of each session, enter your password in ALL CAPS. Continue to use the Lock functionality as before. It is not necessary to enter your password in upper case at any other prompt, other than the first logon. This is a temporary workaround which will not be required after the fix from aal is received, tested and implemented. Thank you for your cooperation as we work to resolve this. A notice will be posted here when the problem has been resolved.

BCeSIS Users are currently encountering Content Blocked or Untrusted Connection  warnings when trying to login to BCeSIS. We are actively working on resolving this. In the meantime, users can still access BCeSIS by performing the following browser specific actions:

Internet Explorer:
The message “Content was blocked because it was not signed by a valid security certificate” displays. Click on the information bar at the top of the window and select “Display Blocked Content”. On the dialogue box that displays, click the “Always trust content from this publisher” checkbox and then the Yes button. The BCeSIS login screen displays.

FireFox:
The message “This Connection is Untrusted" displays. In some cases, the rest of the message is blocked from view. Click on the error message and use the arrow keys to scroll down to reveal the rest of the message. Select "I Understand the Risks" and then the "Add Exception" button. The "Add Security Exception" dialog box will display asking to "Confirm Security Exception.” Make sure the "Permanently store this exception" option is checked and click the "Confirm Security Exception" button. The Provincial team has notified us that user may receive a security certificate error when logging into BCeSIS.  Please have your users click on the information bar at the top of the window and select “Display Blocked Content” .  They will then be presented with an option to continue. The check box for “Always trust content from this publisher” should be selected prior to confirmation.  The user will then proceed into BCeSIS.  The Provincial Team is currently working on resolving this.

We often get asked about teacher training and whether our office can help with teacher training for a school. (ie. come in and train a group of teachers).

We do offer both in-person and online teacher training as an added service to schools (ie. not part of the core services). Typically about $275 for the day.

Typically this training is about 3 hours per group of 6 teachers. (we can do multiple groups in a day) and we will show your teachers how to login, take attendance, do report cards, and gradebook (for highschool teachers) and answer any other questions they may have. There is lots of opportunities for them to practice during the sessions using their actual usernames.

To All Schools

We are requesting that all schools go into the Security Center and do the following as soon as possible:

1. Delete the usernames for any staff that will not be returning to your school.

2. Add the usernames and for any new staff to your school. Please make sure that for any new teachers you have first added the teachers in BCeSIS, by going to School->School Information->Staff Maintenance.

3. Reset the passwords of anyone who might have forgotten their password.

Please note that we actually have to create each of the new usernames manually in our office, so the sooner you make those requests the better. (ie. if you request a bunch of new usernames the day before school starts we will not be able to have them ready in time).

The BCeSIS iGroup has an initiative called the Summer of BCeSIS. The idea behind this is to work with as many schools as possible in the summer to assist them making sure that their school is properly setup in BCeSIS for the start of school. The goal is to work with schools one-on-one through training and support to get schools ready. We recommend that all schools attend one of these sessions, even if you have used BCeSIS for years, just to make sure everything is right. The session is 1 hour in length.

Format of the Initiative for Online Support:

1. Schools will sign up for Online support session with one of our support personal.
2. School bring a list of issues/questions for help.
3. Using Remote software the iGroup will work with your school to work through the issues.
4. We will also be doing a number of checks during this session to ensure your school is ready for the start of school.

We have received the following information from L2.

|The performance testing of YET has confirmed that the Core YET process will take at least 2 weeks to run.  To help reduce the amount  time of that Core YET runs, aal has provided an option (Pre YET Age Courses)  to run one of the YET steps  prior to the Core YET process.  This  step which will be run prior to the Core YET is the process that ages a course (i.e. move course final marks into credit details).   It will process all course selections that  end prior to the date at which the step is run only for courses that have final marks. 

This Pre YET Age Course process will be scheduled to run during the evening and weekends off peak hours between 7 pm and 6 am starting on July 8th.  

Please note that when the Pre YET Age Course process is run,  if your district has entered final marks in course selections, these courses  will be moved to Credit Details and therefore the information in the current Course Selection  will no longer be available to run Report Cards or generate a Course Marks GDE." 

What does this mean for you school?

1. It means that you should have all final marks entered before July 8th, as well you should have printed all report cards before then.

2. Print all attendance reports (ie. attendance summary) before 8th July.

3. Finally you should run a GDE before then as well. If you have any questions please feel free to contact the helpdesk.

We are getting to the end of the school year and as such we are starting to think already about the new school year. In the new school year there are often new staff or changes to roles in schools. To ensure that we have the most accurate contact information for your school, and to make sure that nothing gets missed in the new could you please take a moment to update your contact information for your school. There are two places that we get contact information from:

1. Helpdesk: If you login to the Helpdesk and then click on "My Details" on the left menu you will see an email field. This is where all updates to helpdesk tickets are sent. Please check this is the correct email address. If you have somebody new joining you can list multiple email accounts (ie. the current person and the new person) by putting both emails in this field and seperating the email addresses with a comma. You can also change your helpdesk password here.

2. Security Center: If you login to the Security Center you will see on the "Contact Info" tab four contacts. Business Manager is for the person in your school who handles money/legal questions in your school (typically principal or accountant). The Primary BCeSIS Contact is the person who uses BCeSIS the most in your school and is responsible for the data in BCeSIS (typically a front desk person). The Security contact are people who are responsible for requesting new usernames or getting passwords reset. Please check that all of these are up to date.

BCeSIS is experiencing an error when a user manually creates or updates data in the Credit Details screen (STU160). Any manual data change in the Credit Details screen will cause the Oracle error message ‘FRM-40735:WHEN-VALIDATE-RECORD trigger raised unhandled exception ORA-04062.’ to appear.

This has been reported as a high priority to aal (the software developer), but at this time there is no workaround. Once the problem has been resolved, you will be notified.

A  reminder about ES-Audit, in case it was not mentioned in the Learning Events, if you are using the Count-If function in Excel to find the number of absents, you will want to first sort and filter the data to remove any of the Lates, or Excused Absents. These will also be included in your total absents if left in the extract.


If you seem to be getting unreasonably high numbers this is probably the case, remember, most of your students should have no more than 5-6 absents (maybe more, but the is a general estimate).

If you leave the data file untouched, and a student is late everyday they may have 120 absents!

You may already be aware that the Course Information Book is no longer being printed, last school year was the final one.  Most of Its contents are covered by the Course Registry while most of the rest of the information has been placed in the Handbook of Procedures.  However, the information relating to external credentials has been placed into a much expanded External Credential page.  The sports part of external credentials were separated from the rest because they are so different  and it was not possible to fit them into the format used for the rest. 

 

This is the URL for the new External Credential page, I thought you might find it handy.  Please feel free to pass it around – in fact PLEASE pass it around to all and sundry whom you think will need to use it.

We are happing to be able to offer a number of scheduling workshops for course based schools.  The first part of these workshops is mandatory and will be held online.  This online session will cover checking the setup of courses in Course Maintenance, and entering student course requests.


We will be hosting 2 online sessions, Tuesday, April 19, 2011 at 10:30am, and Thursday, April 28, 2011 at 1:30pm.  After these sessions attendees will have the ability to book time to come to our Coquitlam office to work on their school schedule.  We will be focusing primarily on using the Master Timetable Builder, however other methods of scheduling can be discussed at these sessions as well.


These in person workshops will be limited to 2 schools at a time and will last for 2 days, they will take place every Thursday and Friday in May.  The goal of these sessions is to have a functional schedule for your school (80-90% complete) by the end of the 2 day session.

We have been experiencing issues over the last week or so with our phone's dropping incoming calls. (or the phone just not ringing at all).
As such if you are having an problem/issue with BCeSIS please first report it on the helpdesk and if necessary we will call you, because our outgoing calling seems to be working fine. Furthermore if you are on a call with us and the call gets dropped we will call you back.

For course based schools who would like to print off a Report Card Verification Report grouped by teacher we have created an application that should fill your needs. You will need Microsoft Access on your computer, but you will not need to know how to use it to run the report.

Also we had two questions that came up on the session:
Q1. If you have a student who is deciding to NOT to write an optional exam (ie. Bio 12) do we need to set/change anything in the standardized test records?

Answer: You will go to the standardized test area, then go to the subtest detail tab, then set Refusal to "Student Refusal" for that particular course.

Q2. If we have a student who got equivalent credit for a course with an optional exam (ie. Physic's 12) and they are choosing to NOT write the optional exam do we create a standardized test record? If we do create a standardized test record do we have to set/change anything in the standardized test records?

Answer: Yes you will create a standarized test record, and you will also You will go to the standardized test area, then go to the subtest detail tab, then set Refusal to "Student Refusal" for that particular exam.

To all schools,

As many of you may be aware there is a comprehensive Student Services/Special Education module built into BCeSIS. This has a number of great functions including the ability to write and manage IEP's for students. We have a number of schools who have implemented the module with great success and we are looking at training another handful of schools this year, with more to follow in the following years. We are taking this slow as we want to make sure that we can provide proper support to those new schools who come on to using the module.

We will be hosting an online information session on the SPED module and invite all those interested to attend. This session will be an overview of what the module can do and it would be great if both Administrators and those who work with those who have special needs, and create the IEP's could be present. Members of the Provincial Team will be on hand to answer any questions you may have.

Each session will probably be about 1.5 hours

I know it is a little early to be talking about ES-Audit, however there are some things that one should do throughout the year when withdrawing a student that makes ES-Audit a lot easier.

When you withdraw any student make sure to print the following:
1. Student Information Verification Form.
2. Report Card.
3. Daily/Period Attendance Summary Report (this is the most important thing).

Yesterday afternoon, we experienced an unexpected problem with BCeSIS which took the system down until shortly after 6 PM. Our technical team and software vendors have worked around the clock and we are ready to begin installing software patches this evening.‪‪ Two maintenance windows have been scheduled to install these patches, one beginning tonight, Sat. Sept. 18, 2010, at 6 PM tonight through to 9 AM tomorrow morning, Sun. Sept. 19, 2010; the second one between 6 PM tomorrow Sun. Sept. 19, 2010 through to 6 AM Monday Sep. 20, 2010. During these times, BCeSIS will not be available.‪ Further updates will be provided on Monday.

It is that time again that school photographers are coming to your school.

To extract the required information for your photographers please checkout this guide: http://www.bcesisigroup.ca/documents/Exporting%20Info%20for%20School%20Photographers.pdf

Furthermore let your photographers know that you are using BCeSIS and then they will send you the digits files in the format to upload into BCeSIS.

Steps to Upload Student Pictures:
1. The school photographer will need to save each student and teacher file in a format of identifier.jpg, where identifier is the BCeSIS student number, with no leading zeroes. The recommended size for student photos is less than 75 kilobytes.
2. The pictures should be collected into one zip file for a school, with no folders or sub-folders. When creating the zip file, browse to the folder containing the photos, go into the folder and do a Select All. Then zip this selection of photographs by right clicking one of the files selected and going to Send To-> Compressed (zipped) Folder. The collection of pictures should have a file name of the format: SD00_SchoolName.zip (e.g. SD00_PinetreeElementary.zip)
3. Next open a new helpdesk ticket and attach the file to the ticket.

This morning school districts reported slow response or an inability to log in when attempting to access BCeSIS. We experienced an outage on one of the database servers which has since been resolved. Due to this database problem, some orphan processes appeared to continue to run which resulted in error messages being displayed to the users. The orphaned processes have now been cleared and the system is now operational.

The provincial team has implemented a logon pool which limits the number of users that can logon to BCeSIS. You may receive a message that states

Temporarily preventing additional user logins is necessary to preserve system stability. We apologize for any inconvenience this may cause. Please try again in 20 minutes, if the system has returned to normal you will be able to log in."

We are continuing our efforts to isolate the root cause of the degradation, and to improve the performance of the system. We would like to bring you up to date with a few of the initiatives that have been ongoing, and will continue throughout the evening and tomorrow:

Tonight, starting at midnight, there will be a brief service interruption while we make a number of small configuration changes to the infrastructure.

In conjunction with PLNet and Shared Services BC we are currently running traces to/from several districts, through all the elements of the network to the BCeSIS servers.

We are also working with Burnaby and Coquitlam using a monitor to track performance with specific users.

These activities will assist us as we continue to investigate, and we will keep you up to date.

Investigation indicates that the problem does not reside within the BCeSIS infrastructure. The problem appears to be with a gateway outside of BCeSIS. We have involved Shared Services BC (SSBC) in the investigation and hope to have a resolution as soon as possible.

If you have already Mass-Registered your students and you need to withdraw a student now this is how you do it.

Bring the student up on the main screen, then go Main Menu->Change student->Register, then click "reverse register", then click save icon. Then go to Main Menu->Withdraw Student, then fill in withdraw date and reason and click "Withdraw".

A reminder to ALL schools when you are admitting a new student to your school, please search for ALL students before admitting them. We have been receiving a large number of duplicate PEN's in the system which are time consuming to remove. Please follow the following procedure to admit students:

1. Go to Main Menu->Admit Student.
2. Press F7
3. Enter Legal Last Name, Gender and Birthdate, DO NOT enter first name or any other information.
4. Press F8
5. If you find the student listed there, click on them and click "Select", if not then and only then click "enroll new"

Also we again are going to be doing our "Summer of BCeSIS" one-on-one sessions with schools. These session allow you to sign-up for a one hour online one-on-one session (with desktop sharing) with one of our trainers, where they will quickly look at your whole setup and ensure there are no obvious problems and then it also gives you an opportunity to ask any specific questions or get instruction on any process in your school. The Year End Transition process for the 2009-2010 school year has successfully completed. Production is now back online and available to BCeSIS users. SD Test will be refreshed with post-YET data on August 9 and 10.

We have just received the following important notice from the Provincial Team regarding the YET:

It will be necessary to extend the period when the BCeSIS production system will be unavailable due to Year End Transition processing. Recent tests have confirmed that YET will take much longer to complete than initially planned. YET processing is now scheduled to begin at 12:01 (midnight) on the morning of Monday July 26, 2010 (rather than on July 30 as originally planned) and to complete on Monday August 9, 2010.

This schedule change may require schools that are still in session to adjust end dates and may affect their ability to enter marks and comments while YET is running. The BCeSIS Team is working closely with districts to develop procedures that minimize the impacts on schools.

This has been raised as an issue with the eSIS software vendor, and steps are being taken to ensure that this situation does not arise again in the future.

We apologize for any inconvenience that this schedule change might cause.

1. Adam will be on vacation from 16th - 25th July.

The service degradation experienced this morning has been resolved and normal service has been restored. Users can now access both the ISW and BCeSIS. Root cause analysis has been performed and steps to mitigate these types of events in the future will be taken.

Everybody should have just received emails about YET. (if you did not please contact us to make sure we have the right email address)

You would have received one of two types of emails.

1. A "you are finished" type email, in which case congrats and enjoy your summer break. Please note that we only checked your school for completion, not for accuracy. (ie. we can tell that you had non-school days entered, but we have no idea if they are correct).

2. A "you still have things to do" type email, in which case you these tasks identified need to be completed by 30th July 2010. If you have any questions about these please contact us on the helpdesk and we will be able to help you.

Finally we have noticed that a number of people have not started the YET process, YET is very important to your school, failure to complete YET before 30th of July 2010 will result in ALL your students being withdrawn from your school. (ie. you will have to re-enter all your kids).

If you have new front desk/secretary joining your school next year the iGroup has a new option for your school. In the past schools have been responsible for training of new staff. This summer (ie. June-Aug) we are offering staff training as an additional service to our schools. This training would be one-on-one with one of our trainers and would cover admission/withdraw, attendance, scheduling students, and reports.

There are two options:
1. You can come to our office in Coquitlam for the day for the one-on-one training : $250 for the day
2. Or if you are out of town and don't want to travel to Coquitlam we can provide the same training online via Elluminate: $250 for the day.

If you are interested in getting your staff training please feel free to contact us and we can setup a day for you.

Just a reminder of the training session on Thursday at 1:30pm. It will be covering how to enter marks so that they show up on the PSR and how to do you report cards. Please note that even if you are not doing report cards in BCeSIS you will want to still enter final marks into BCeSIS so that it shows up on transcripts and PSR and then you don't need to re-enter it again next year, this session will show you how to do that. It seems that people province wide are having issues with connecting to BCeSIS this morning. I have contact L2 and it seems to be a PLNET issue. (ie. the provincial internet provider). I will provide an update when I have more information.

Some users have reported that with the most recent version of Java you sometimes do not see the icons in BCeSIS. This is because the graphics are not encrypted, while the rest of the data is. If your school name is on the list of schools below it means that you have students in BCeSIS but have NOT completed your completion declaration. This completion declaration MUST to be completed by 31st March 2010 in order to receive the $10/student grant. (you needed to have signed the MOU before Dec 2005 as well to be eligible for the grant). It is critical that it is done before 31st of March 2010 or you will not get anything. If your school is NOT on the list then you have already received the grant and don't need to do anything. If you have any questions or need more information please contact Andrew Macauley

The iGroup is pleased to announce an upcoming training workshop on scheduling in BCeSIS.

Master Timetable Builder is a very powerful module built into BCeSIS to schedule your school based on course requests. The iGroup team is looking for schools who are interested in using the functionality.

This year we are able to offer training on this functionality to about 10 schools. Due to the nature of the module we are offering a 2 day intensive in-person course on the module. Space is limited, and for this offering of the workshop we are looking for specific requirements for the schools.

The person, or people who actually create the schedule for your school MUST be in attendance as this workshop will be a working session in which you will be scheduling your courses.

We will be offering this workshop in subsequent years with less stringent requirements as we become more comfortable with the functionality of the module.

The workshop we be held in the Lower Mainland April 21-22, 2010

Some of you have noticed that you can print the attendance summary for students who are withdrawn, but for those students who have been picked up by another school you cannot. There is a way to do it, follow the same instructions as before, but instead of clicking on the Print icon rather go to Action-Print in the top menu.

As all schools know, in May you are required to provide attendance records for all students that have attended your school this year for the ES-Audit. Please make sure of the following:

1. When you withdraw a student please make sure that you print their attendance summary so that you can give this to the auditor.

2. If you have already withdrawn a student and did not print their attendance summary please do the following BEFORE Tuesday evening. (after Wednesday they are removing access because of privacy issues on this screen).
a. Go to Main Menu->Queries->Prior Students Queries
b. Press F7 and then enter the students last name then press F8.
c. Then click on Attendance Detail.
d. Then choose either daily or period depending on your school.
e. Then print out this attendance.

Please note the Provincial team has removed the "More Information" button on the Admit page. This was because the More Information button allow one to navigate to other screen and get sensitive data about the student without being the school of record. (ie. it was a privacy issue). As such you will have to make admission decisions now just based on name and PEN number and previous school. Please note that they are looking at how to add back the "More Information" button once they have removed the privacy issue.

If your school is still in session today and you are using SDTEST while Production is being upgraded today, you might receive the following error message when you try and login "ORA-12537 TNS: Connection Closed". L2 has been notified of this and it trying to fix the problem. You can keep trying to login every 15mins and you may get in, otherwise we will post an update when we have more information from L2.

You and your staff are probably starting to receive messages that you password is going to expire soon. This is happening because you need to change your password every 90 days for privacy reasons. If your staff get this message this is how to setup a new password.

1. If you are an admin user (ie. anybody not a teacher) go to Main Menu->User Profile and and set a new password there. Once you have done that logout right away and re-login with the new password, if you don't logout right away it can cause issues with reports

2. If you are a teacher then in click on "Setup Option" then "Preferences" then "Edit User Profile" and change your password there. Once you have done that logout right away and re-login with the new password, if you don't logout right away it can cause issues with reports.

If any of your users mess up and cannot login again, just reset the password in the security center, and they will be assigned a new password by the system. It will be ready to go in about 2 mins.

On December 1, 2009 between 2:00am and 8:00am PT the network provider for BCeSIS will be replacing a network component. BCeSIS will be unavailable for a period of approximately 1.5 hours during the maintenance window. Network maintenance may be performed at any time during the timeframe indicated. The network provider cannot be specific about the actual time when the work will be done, so we cannot predict exactly when BCeSIS will be available. You may or may not be able to login during this timeframe. We recommend being prepared for interruptions in your access at any time during the maintenance window. We apologize for any inconvenience this may cause.

We are going to be holding a training session on 4th Dec 2009 this will be a open session for all schools to login to Elluminate and receive training on how to run reports in BCeSIS including the General Data Extract and some advanced Excel functions.

On Tuesday November 10, 2009 a function was implemented that allowed the end user to terminate a session that became inoperable (e.g. due to loss of network connection). BCeSIS encountered system problems the morning of November 16th and 17th. After examination of the system by the senior technical engineers it appears that the End User Self Termination function may be the cause of the problem.

Effective 5:00pm PT November 17, 2009, the BCeSIS Team will turn off the End User Session Termination function and the user logon function will operate in the same manner, as it did pre November 10th.

We are looking at implementing the Special Education Module (SPED) for BCeSIS for some of the independent schools. We will be starting the implementation with a small handful of schools so that we can learn the module ourselves. The plan for implementation consists of a number of stages.

Step 1:
Registering your interest in the SPED Module with the iGroup. Including the number of students, how many dedicated SPED staff you have if any.

Step 2:
Attending a 2 day implementation session. This will likely be held in the lower mainland area. The main BCeSIS contact and the staff who deal with the SPED information the most will need to be in attendance. (2-4 staff members)

Step 3:
Attending a 2 day training session about a month or so after the implementation session.

Some schools have contacted us about backdating the 1701 file. As far as I know you don't need to backdate it, but if you want to (or need to) this is how you do it.

1. Right click on the .STD file and the go to Open With and then select WordPad.
2. Then on the first line you will see your school name, and then next to that you will see the date on that first line.
3. Change the date to 20090930, then save.

Deletion of Duplicate records

Schools are reminded that duplicate student records should be deleted from BCeSIS before generating 1701 extracts. To ensure that duplicate records are removed prior to generating this year's 1701 extract, requests to have them deleted should be sent to the BCeSIS Service Desk by Monday, September 28th at 10am. Requests received by this deadline will be removed from the system by end of business the next day Tuesday, September 29th, 2009. Any duplicate record deletion requests received after that time will be dealt with through the normal process i.e. one batch per week.

If you are having problems with students missing from the attendance list or TA, please make sure that all your students are registered. Even if you run the mass registration in your school some students may have been missed. To find out if you have any students that are not registered run the following report:
Main Menu->Reports->#6 Enrollment reporting->Enrolled/Not Registered.

If you discover any students that are not registered then just do the following:
1. Go to the student on the main BCeSIS page.
2. Go to Main Menu->Change Student->Register.
3. Enter the first day of school (ie. 8-sep-2009)
4. Click save.

Then the student should show up in the attendance list. If you have any further issues please report them on the helpdesk.

If you receive the following message when you are trying to withdraw a student:"You are trying to withdraw this student on the same date as their registration date. Please reverse register this student using STU002." then bring up the student on the main BCeSIS screen, then go to Main Menu->Change Student->Register. Then click on Reverse Register and then click save. Then you can withdraw the student.

At approximately 5:30pm PST on September 1st the BCeSIS Team implemented a reduction in the Session Timeout in the Production environment. The Session Timeout is now set at 30 minutes and will remain in place for at least the next couple of weeks. This means that if you are inactive in BCeSIS for 30mins you will have to log back because you will be timed out. However on the major plus side if BCeSIS freezes or you get kicked out of BCeSIS and you receive the "You have reached the maximum number of logins", you will only locked out for 30 mins.

There was a brief service interruption while this change was implemented, and some users may have been affected. We apologize for any inconvenience this may have caused.

We experienced an outage of the iGroup website for about 45mins. It has been resolved now and the Helpdesk/Security Center/website should all be accessible again.

During this outage BCeSIS continued to function without any issues. Please note that BCeSIS can always be accessed directly (ie. without going to the iGroup website) by going to http://www.bcesis.isw-bc.ca/

Please log into the session 5-15 minutes prior to the scheduled start time.

I number of you have starting receiving this message when you login to BCeSIS:

"Youve exceeded the maximum number of logins to BCeSIS! If you require assistance, please contact your district Help Desk."

Firstly you can login multiple times a day. (ie. I login probably about 2 dozen times in a day). However if you don't logout properly (eg. BCeSIS crashed) then BCeSIS sometimes thinks that you haven't logged at and then it will not let you login again. This is because BCeSIS doesn't allow you to be logged in twice at the same time, to prevent system locking. At this point you have to wait until BCeSIS timesout your logged in session, which can be up to 90mins.

To prevent this issue, firstly always make sure that you logout of BCeSIS using the "door" on the main screen of BCeSIS. Don't just refresh your browser to get a new BCeSIS Session. Secondly when you run reports you often have the option to print it in the background, if you do that then BCeSIS will not crash if the report crashes. (You can retrieve the finished report from the queue manager). Thirdly make sure that if you are scheduling a student that nobody else is working with that student at the same time, because it will cause BCeSIS to freeze. Finally if BCeSIS looks like it is frozen (ie. nothing has happened for 2mins) just give it a few more minutes, BCeSIS will often come back alive and then you will not be locked out. (ie. don't just close BCeSIS because you think it has crashed, just wait a few minutes).

To All Schools. We have been noticing a large number of duplicate students being created in the system. Just a reminder to all schools to use the following process when admitting a new student. 1. Go to Main Menu->Admit 2. Then enter ONLY the Legal Last Name, Gendar and Birthdate (DO NOT enter first or middle names). 3. Then Press F8. 4. At this you will have two options. a. If you got no records or the students that were displayed were NOT your student, then you can click \"Enroll New\". b. If your student is displayed then click on the student and click \"Select\". (please note that if it says that this student has not been withdrawn then you need to contact the previous school first to get them to withdraw the student before you can admit them.To get the previous school click on the \"Info\" button next to the student) 5. After you have entered all the student data and you click save, if you get a message saying that they may be a duplicate, then please click \"Cancel Admit\" and re-search for the student in the system. Thanks and if you have any questions about this please contact the helpdesk.

To All school: If you are noticing that you are getting timed out of BCeSIS all the time, it has actually by design. Because of the outage problems a couple of weeks ago, which was caused by users blocking themselves. (ie. having two connections open) they reduced the timeout to 30mins as a temporary measure until everything was figured out. They will increase it again to 2 hours in a couple of weeks. It is to help make sure the system is stable.

DATABASE RESTART COMPLETED! - 06.16.2009 The restart of one of the database instance was completed successfully. Thank you for your patience and cooperation in this regard.

he service degradation that it is currently being experienced within districts has reached a point where we have determined that a restart of one of the two database instances is required. The restart will begin at 12:35 p.m. PT and will take approximately a half hour to complete. The outage will assist with the cleanup of the session contention as described below. IMPACT TO USERS: This will affect about ½ of the sessions currently open in the database, including both forms and reports sessions. Some users may not experience any interruption of service; others may lose one of several sessions they may have open. We would recommend advising your users to log off prior to this restart, if possible, and waiting until after 1:05 pm PT to login again. Our analysis at this point is indicating that there is contention occurring between School Users accessing the Mark Entry (BC) screen (SCH136) at the same time that teachers are accessing TA Gradebook in Teacher Assistant, especially to post marks. One of the reasons that some users are experiencing a system slowdown is because multiple users are accessing the same student record(s) to perform changes simultaneously – e.g. simulating courses, entering attendance, entering marks, etc. The system attempts to prevent potentially conflicting changes from occurring at the same time, and this puts users into what is usually described as a freeze or wait state. The user response may be to terminate the session in a manner which the user may perceive has addressed the problem whilst, in fact, the application still has control of the records and has not closed off the associated processes that are running in the background. The action of the user logging in again and attempting to perform the same activity only exacerbates the problem by increasing exponentially the system contention. Our recommendation at this time is to advise your School Users to avoid accessing the Mark Entry screen until they have verbal confirmation from their Teachers that the teachers have completed entering and posting marks. Thank you for your cooperation in this matter.

Reminder To All Schools. BCeSIS is going to receive a number of upgrades in the next number of months. The primary advantage is increased support for more browsers and operating systems, specifically support for Vista and Mac 10.4. BCeSIS will be moving away from the current Jiniatator to the much more widely supported Java Run Time Environment (JRE). There are two important dates for schools. 1. 21st Jan 2009 - BCeSIS will be able to be run using either the JRE or the Jiniatator. This means that Vista will be able to access BCeSIS! No action is required by schools, all computers that can access BCeSIS currently will be able to continue to access BCeSIS. 2. 1st March 2009 - BCeSIS will ONLY run using the JRE. Action is required by ALL schools to ensure that all machines that need to access BCeSIS have at least JRE 1.5_14 or later installed by this date. If it is not installed BCeSIS will NOT work. To check if you have the JRE 1.5_14 or later please do the following: In Windows: 1. Click on the Start Menu. 2. Click on Run 3. Type cmd 4. Click OK 5. A black pop-up should show up. 6. Type JAVA -version and press ENTER 7. It should tell you the version or build number. Make sure it is 1.5_14 or later. 8. Attention all High Schools with Board Authorized Courses: A Ministry communication went out to district data collection contacts regarding BAA permanent course codes that will be implemented for the 2009/2010 school year. Q: Why are we doing this? Ministry: Each year we create hundreds and hundreds of BAA courses usually oriented to a particular district. Ministry wanted to get away from creating individual courses and provide a permanent provincial BAA code for districts to customize at their end. This will be available in Jan for schools to use as they prepare for scheduling. Q: We need to communicate this when we start our scheduling! Because the old codes will still be in existence, that means schools could still build schedules on these courses in the spring and have them closed in the summer. This could be a big problem if schools aren’t advised not to use the old codes. Q: What about fine arts etc. – what diploma category does it fit into? BCeSIS Team: Don’t believe this is going to be an issue but when we do our testing, we’ll keep this in mind – i.e. we’ll check to see that the diploma category will still be correct. Q: Will these new codes be distinguishable from the old ones? BCeSIS Team: They will be a completely different code but will start with a Y. Q: Will they have an A-H at the end of them? Ministry: We have the list and they will be using A, B, and C only.

System slowness and Freezing Note from Level 2: Findings from the investigation into the locking on BCeSIS Most Districts are now in the middle of entering marks in preparation for running report cards. While this does cause a heavy load on the updating of the Marks table, under normal circumstances, the system can handle the load and this would cause no degradation of service or response times. However, our investigations have uncovered one set of circumstances that can start a cascade of problems ultimately locking out almost all users from being able to update marks. If one person in a District has the Mark Entry screen open for a particular course and section, and another person (or the same person with a second session) also has the Mark Entry screen open for the same course section, and both make a number of changes to marks on the screen – particularly deletes – and press Save, the first person (or session) to have pressed Save will lock out the second one. (Note: teachers posting marks for course section when someone else is updating the same Course Section on the Mark Entry will cause the same locking issue. Teachers can still update assignment marks in Gradebook without causing an issue, as long as they are not Posting) The only way out of the situation is for the BCeSIS support Team to cancel one of the sessions. We will be watching closely and will be cancelling these sessions as quickly as possible. If the session is not cancelled quickly, or if there are several locked sessions happening, the system could broaden the lock and begin preventing other, unrelated users even from other Districts from updating Marks. And when this happens, the load on the system rises exponentially and begins to cause general slowdowns. We are asking you to quickly get the word out to your user community that they should not have multiple sessions or users updating marks for the same Course Section at the same time. We can think of a couple of reasons why we are seeing the locking more this year than last year. Districts could be moving students from one Course Section to another because of the new DPA courses or because of correcting school schedules. These moves are necessitating deleting the marks from the “old” Course Section and re-entering them into the “new” Course Section. And Deletes take more system time than adds or changes. We are continuing to look at how to optimize the processing in the Mark Entry screen.

From the Provincial team: We are seeing a significant increase in the number of blocked sessions occurring within the application today. This is often the result of users killing one session, starting a second one right away, and attempting to perform the same operation. Please broadcast to your users that this is causing slower response times for everyone and request that they wait a half hour before logging back in after killing a session.

Report Error: A number of schools are getting a error message when they run any report. L2 has been notified and they know it is a problem. However it only seems to be affecting one of the 8 servers. As such you can try re-loading BCeSIS and get another server and it might work, until this is fixed.

To All schools doing 1701 in BCeSIS: A number of schools have noticed that their grade 7's who are scheduled into homerooms are showing up as part-time. I have confirmed with the provincial team that this will have NO impact on 1701 and not to worry about it. It is functionality used by other eSIS clients in the States.

A reminder to all schools that resets of passwords for BCeSIS must be done through the Security Center. Please note that resets only take about 5mins however adding new usernames may take up to a day.

Attention all production schools: We have noticed that a number of students don't have the right diploma type which is resulting in problems with scheduling and is going to cause issues with 1701 and TRAX later on. Please review that your students diploma is correct by running an ad-hoc report with the diploma field chosen. (most of your kids should be on the 2004 Grad diploma but a few might be on SCCP or 1996 Grad). If there are any that have the incorrect diploma then please do the following: School>Mass Update Single Value> On right side of screen: 1. Category > Click on Down Arrow to Demographics 2. Field to Update > Diploma 3. Update Value > Choose the correct diploma type Then click on extract and the demographic extract screen will pop up. Clear extract criteria. Run extract. Go back, exit door/window. Screen populates will all students. If there is a student who should NOT be assigned this diploma, deselect the check beside their name. Click on UPDATE. Save. Students have now been assigned to diploma you have chosen. In order to increase the capacity of the BCeSIS production environment, two new application servers have been added over the summer to the BCeSIS infrastructure. Consequently, any school or school district that has specific firewall rules in place to allow or prioritize access to BCeSIS may need to update their rules to include these new servers. The recommended approach is to allow/prioritize the following IP address ranges. Those who have already implemented this approach will not require any further changes. 192.105.106.1 to 192.105.106.63 and 142.30.30.129 to 142.30.30.191 Those implementations who have implemented rules for specific IP addresses will need to add the following two IP addresses to their firewall rules: 142.30.30.162 142.30.30.168

Attention all schools requesting new usernames: Due to the large volume of new username requests we are receiving we are doing all the Admin, Principal and Secretary usernames first, and then doing the teacher accounts (as such teacher account may only be available monday or tuesday next week). Attention all Production Schools using Teacher Assist: We have discovered a potential problem with teacher usernames that have courses. (ie. only High school teachers). Basically the problem is that when the teacher logs in, and unchecks the "Today's classes" checkbox, none of their Sept courses show up. We have a solution to the problem but the iGroup has to fix the usernames one by one and we are unsure if it affects all the teachers. As such we would suggest that schools test all the teacher accounts (ie login and see) before school starts and report any problems on the helpdesk, so that we can fix it before school starts.

Update on iGroup Website: I just wanted to give an update on the outage that some schools experienced with the iGroup website (www.bcesisigroup.ca). Schools reported receiving a page with a "Account Suspended" notice and re-directed to greendragon.networkphatom.net. Our site was NOT hacked and it was NOT a virus, what really happened was that my hosting company didn't think that I had paid an invoice for the hosting and as such they suspended the site until payment. All the issues should have been resolved and the iGroup website should be working. There are still random reports of schools not being able to access the site. If you are not able to access the site please contact me at andrewsmit@bcesisigroup.ca and I'll try and see what the issue might be. Thanks for your patience in this. Update for the upcoming User Conference: The Conference Planning Team has prepared a quick survey, which takes less than a minute to complete. Responses regarding what you would like to see at the conference would be greatly appreciated. A link to the survey is available on the ISW (www.isw-bc.ca) Homepage.

Registration should be open soon and, this year, you can register online. The fees for early registration, until April 11th, are $140 for 2 days, and $70 for 1 day. After April 11th those fees increase to $180 and $90. There are rooms blocked at the Best Western Hotel in Richmond until April 7th, a limited number of rooms are available so it is advised to book early if you require accommodation.

In regards to Error: REP-50174: Authentication failed

Please be advised that the BCeSIS Team is actively investigating and troubleshooting an intermittent issue occurring for users running reports in BCeSIS. The behaviour of the error is erratic and does not appear to be isolated to a specific Adobe (Acrobat Reader) version, a specific operating system, or a specific component or resource in the BCeSIS server environment.

We have been able to reproduce the error message as well as the erratic behaviour. Thank you for your assistance in reporting this problem to us and collecting valuable information from the end users. Building upon the success of previous conferences, this event will provide a forum where BCeSIS users can learn about new developments, share their experiences, and exchange information. This is an excellent opportunity for current and future BCeSIS users to learn from their peers. Presentations and panel sessions will be organized around the needs of various groups of users, such as teachers, counsellors, technologists and school administrators.

Secondary and Middle Years Report Cards:
We have had a number of schools that have got the following error message "Company File Setting for Max Number Of Marks is 3. Additional Reporting Period for final grades must be correct...." when they try run the report cards.

The reason is because the reporting periods are set up incorrectly in your school. You will need to change the dates for the reporting periods so that no two reporting periods fall on the same date for each course length start date. (ie. you cannot have two reporting periods with the same date for full-year courses, but you could still have the same reporting period date for full-year courses and then also semester courses).

This typically arises with the final mark for a course length, where you have set the last reporting period date to be the same date as the final mark for the course length type. The easiest is to just move the final mark one day later.

1701 CRITICAL UPDATE: This information is for all schools that have Core French in their school. There was an error in the coding of Core French which resulted in students not getting funding. If you did an extract out of BCeSIS before 3:30pm on Wednesday Sept 26th please re-extract your 1701 data and resubmit it to the Ministry. This only applies to schools that had Core French funded students. Failure to re-submit will result in a lost funding potentially.

It is an exact copy of Production (with your data in it) that you can use to test changes to your setup, before you do them in Production. Duplicate Students: We are getting a lot of requests to delete duplicate students from BCeSIS. Please make sure that you search BCESIS for the student everytime before you admit a new student. If there does happen to be a duplicate please make sure to include the following information in your helpdesk ticket for both students (first and last name, birthdate, BCeSIS pupil number, PEN, gender, and indicate which student to keep and which to delete).

Please be aware of the following changes to the iGroup Helpdesk:
1. In order to facilitate better communication between the Helpdesk and iGroup BCeSIS Users whenever news is posted to the Helpdesk you will also be receiving an email with the news.

2. In order to ensure that Helpdesk personal are efficiently applying their time on the issues that require attention the iGroup Helpdesk has created a new status level for issues called "Resolved". The Helpdesk set the issues to this level once we are confident that an issues has been resolved and the helpdesk is waiting for your confirmation to close the issue. If your issue have been set to "Resolved" please add a remark to close the issue if it is resolved, or if it is not resolved then please add a remark with the outstanding issue and the helpdesk will re-open the issue.

3. The Helpdesk as a large number of issues that are set to "Resolved" and in order to clear out these issues the Helpdesk now has a policy to close all issues that have been at the "Resolved" status level for more than 6 days. You will receive an email when the issue is initially set to "Resolved", and reminder email after 3 days, and a final email to inform you the issue has been automatically closed after 6 days.

4. Finally just a reminder to submit all issues/problems that you have with BCeSIS to the Helpdesk to ensure proper tracking and resolution of the issues/problems.

Well Summer is almost over and the start of school is near, the iGroup is gearing up for a new year of BCeSIS. Here are some key news from the summer and resources available in the new year.

1. The Year End Transition (YET) went well for the schools throughout the province. Related to this is the fact that schools that had data in Production now have that some data in Stage 1. Which is perfect for testing new features or changing before doing it on your live production data.

2. The iGroup has developed a tool to manage usernames/passwords and contact information. This tool can be found on the front page of the iGroup website. Click on forgot password to get a username and password for the application, or email security@bcesisigroup.ca to confirm your primary security contact. This tool is were you can found all the passwords that you use for the iGroup (ie. Helpdesk, Wave sections, etc), and all the passwords for the actual BCeSIS Application. You can also request password resets and username deletions. The goal is to have the requests completed within a day. This tool will helpfully simplify the task of organizing passwords and usernames.

3. As always the iGroup Helpdesk will be available to all schools that are in Stage 1 or Production with BCeSIS.

Summer is almost here, so I thought I would inform you of some keys events and resources available over the summer.

1. Year End Transition (YET) is a major event that occurs on July 28th, and BCeSIS will be closed until 3rd August. It is the process that moves all the students from the current year into the next year. If you are in Production you will need to complete a number of steps to ensure that everything transitions properly. (even if you are not using BCeSIS actively, but have students in Production). If you are in Stage 1 you will need to document your setup because everything is going to be deleted. Please see the information on YET which can be found on the iGroup website (www.bcesisigroup.ca)

2. The iGroup Helpdesk is going to be open all summer. Please report all problems with the BCeSIS application to the Helpdesk. If you do not have a username and password for Helpdesk please email me before July 15th.

3. The final major event that will be happening this summer, is that I'm getting married. As such my office will be closed from July 27th - August 20th. I will not be responding to emails or phone calls during this time (in fact I will not be in the country), however Jack will be taking care of Helpdesk, so please report your issues/problems on the Helpdesk. If you require Stage 1 or Production passwords please fill in and email me the form that is found on the iGroup website before July 15th.

Welcome to BCeSIS iGroup Helpdesk. This helpdesk will be used by all independent schools to report and track problems with BCeSIS. Schools will be assigned usernames and passwords after they have received the first week of training.
